ASSIGNMENT PROCEDURES

 

  1. In order to be called for assignments, you must first register with the Automated Substitute Teacher Management System.  The Automated Substitute Teacher Management System’s telephone number is 722-8391 or you can go on line at subfinder.hartfordschools.org.  If you encounter problems, please call the Substitute Office at 695-8620 and speak with the Substitute Specialist.
  2. Calls for assignments are made by the Automated Substitute Teacher Management from 6:00 PM to 11:00 PM the night before an assignment and 6:00 AM to 9:00 AM the day of the assignment.  Messages to substitutes will not be left with other persons nor will they be left on answering machines.  The Automated Substitute Teacher Management System will accept a commitment to an assignment only from the substitute teacher.  No commitment will be accepted from anyone else.  If the substitute cannot accept the call, the Automated Substitute Teacher Management System will call the next available substitute teacher.  Please note if you do not pick up assignments through the Sub finder service you may have a problem in payroll that the substitute specialist can not validate.  Also, call back or view your assignments on line to assure that you have locked them in for the next business date.

WHEN YOU ACCEPT AN ASSIGNMENT

Be sure to keep a record of the JOB NUMBER, DATE OF THE ASSIGNMENT, TEACHER’S NAME AND THE NAME OF THE SCHOOL.  IT IS VERY IMPORTANT THAT YOU KEEP THIS INFORMATION IN CASE OF A DISCREPANCY RELATING TO YOUR PAYCHECK.  THIS CAN ALSO AFFECT THE NUMBER OF EARNED DAYS YOU RECEIVE AT THE END OF THE YEAR.

  1. After accepting an assignment, if you find that for some reason you cannot keep the commitment, you must immediately call the Automated Substitute Teacher Management System or visit the web site and cancel the assignment, as well as contact the school assigned and the Substitute Office.  It is extremely disruptive to students and administration and very unprofessional to accept an assignment and not show up for work.  Failure to call the school and report your absence may result in disciplinary action.
  2. If a substitute accepts a split assignment between two schools on one day, it is the responsibility of the substitute to secure transportation that would ensure timely arrivals at the schools.
  3. The Automated Substitute Teacher Management System will advise you of the time to report to your school.  Please be advised that strict adherence to “report time” is required:

The Automated Substitute Teacher Management System will notify the substitute if there is a change in “report time” for a particular assignment.  In the event that schools may close or start late due to inclement weather, please listen to the radio or channel 3 for further information.  If you accept an assignment and school is closed due to inclement weather, you will not be paid for that day.
  5. A substitute must always report to the Executive Assistant or the Secretary in the Main Office of the assigned school upon arrival and departure from school.  Be sure to be courteous and use your employee number when signing in to assure that you will be paid correctly.  If you don’t sign in the executive may not remember you and you will not be paid for that day.
